SETTINGS>Add / Edit Coordinators (& Set their Permissions)
 

ONLY THE MAIN COORDINATOR (who initially created the account) CAN ADD & SET PERMISSIONS FOR OTHER COORDINATORS - and Main Coordinator has access to everyone's login information by printing out their sign in instructions.
Each WhenToHelp account has one main Coordinator (the Coordinator who created the account) and can have any number of other Coordinators logins and set permissions for what functions each Coordinator can perform.

Each Coordinator has a unique Coordinator ID and password (IN ADDITION TO any ID & Password they may have to sign in as a Helper) and can perform only the functions that the Main Coordinator allows. 

You can also create a "Coordinator" account for a third parties who needs to have access to viewing schedules.

Coordinators can sign in and filter their own Schedule Views to only show certain Categories, Positions, Group of Positions etc. but you currently cannot restrict them from seeing only certain Positions. For example if their permissions allow them to add shifts - then they can add shifts for all Positions. If you want Coordinators to be restricted to only see and schedule certain departments or locations you may want to create separate WhenToHelp accounts.

 
To add a new Coordinator
From any page 
  • In the top menu click SETTINGS to go to the Settings section 
  • Click the Add/Edit Coordinators tab to open the Permissions for Multiple Coordinators window 
  • Enter a First and Last name and an E-mail if you like 
  • Click the Add New link (1.) - The new Coordinator's permissions will appear in the box below 
  • Set the permissions you want for this Coordinator (2.) and click the Save Changes button (3.)

    To Edit any Coordinator's permissions or information or to send Sign-In Instructions 
    In the Permissions for Multiple Coordinator window 
  • Click Edit next to the Coordinator name (their permissions will appear below the list of Coordinators)
  • Change the information and/or click the E-Mail or Print Sign-In Instructions  
  • Click the Save Changes button
